Privacy policy
What this site collects, and why.
This covers the iClinic website, including the demo request form and Ask iClinic. Patient data inside the iClinic software is governed by each clinic's own contract.
The short version
- Demo request form: the details are emailed to the iClinic team, used only to get back to you, and not stored in a database.
- Ask iClinic: iClinic's servers keep no questions. When AI answers, the question goes to Anthropic (USA).
- Google Analytics counts page views and a few actions, and never receives a question or what you type in the form. You can switch it off on this page.
What this covers
This policy covers the iClinic website only. Patient data inside the iClinic software is governed by each clinic's own contract. The iClinic app for patients has its own notice.
What this site collects
Each entry below says what is taken, what it is for and where it goes.
When you send the demo request
- Data
- Your name; a phone (or Zalo) number or an email; a clinic name and a note if you add them. If you press “Send to the iClinic team” in Ask iClinic, your question is pre-filled in the note (you can edit it) and is sent only when you submit the form.
- What it is for
- Only so the iClinic team can get back to you. The consent box in the form is never pre-ticked.
- Where it goes, how long
- The server forwards the details by email to the iClinic team's inbox, sent through Google's Gmail service, and does not store them in a database. The email (and the sent copy in the sending Gmail account) stays in the mailbox; you can ask for it to be deleted at any time.
When you use Ask iClinic
- Data
- The text of the question, with the earlier questions and answers in the same conversation. Phone numbers, ID and insurance card numbers and emails are stopped on your device before sending when they are recognised. This cannot catch every case, so please don't type personal details.
- What it is for
- For the AI to write the answer.
- Where it goes, how long
- Through iClinic's server to Anthropic (USA), the AI processor. iClinic's servers keep no question. Anthropic handles and retains that data under its own terms and privacy policy. The conversation sits in the browser tab and is gone when you close the tab or press “New chat”.
When you view a page
- Data
- The pages you view, a few actions (opening Ask iClinic, sending a question, an answer arriving and how long it took, an error while asking, rating an answer, tapping a contact button inside the answer, sending a demo request, tapping a phone, Zalo or email link), your browser type and device, approximate location and IP address. Never the text of a question or what you type in the form.
- What it is for
- To see which pages are read and to improve the site.
- Where it goes, how long
- Google Analytics 4, run by Google, through cookies. Google handles the data under its own policy. You can switch it off in the Google Analytics section below.
When the server sends you a page
- Data
- The web server's log records the time, the page requested and your browser type. Your IP address passes through Cloudflare to iClinic's server, where it is only used briefly in memory to count how many times one address sends the form or asks a question, and is cleared when the server restarts.
- What it is for
- To run the site, stop automated bulk requests and find the cause when something breaks.
- Where it goes, how long
- iClinic's server, and Cloudflare, which delivers and protects the site. Cloudflare handles all traffic to it, so it sees the IP address, the page requested and also the form or question content as it passes through.
On your device
- Data
- The language you choose (localStorage); the conversation and anything passed to the form (sessionStorage); your choice to switch Google Analytics off, if you do (localStorage).
- What it is for
- To show the right language next time, keep the conversation in the open tab and remember your choice.
- Where it goes, how long
- Stays on your device and is never sent anywhere. The sessionStorage part is gone when you close the tab; the rest can be cleared in your browser settings.
Anthropic, Google (Analytics and Gmail) and Cloudflare are outside iClinic and may handle data outside Vietnam.
Google Analytics and cookies
The site uses Google Analytics 4 to count page views and a few actions. Google Analytics sets cookies in your browser and receives your IP address, details of your browser and device, approximate location and the pages you view. Question text and what you type in the form are never sent to Google Analytics. The API docs page does not use Google Analytics.
Your choice is remembered on this device. While it is off, later page views do not load Google Analytics; switching it back on takes effect from the next page. Pages already open need a reload for this to take full effect. Google cookies set earlier stay on your device until you clear them in your browser settings. If your browser blocks storage, the choice only holds for the page that is open. You can also block Google Analytics on every website with Google's add-on.
Your rights
Under the Personal Data Protection Law 91/2025/QH15, Article 4, you have the right to know how your data is used; to give or withdraw consent; to see, correct, delete or restrict your data; to object to processing; and to complain. To use these rights, send a request through the Contact section.
